
OFFICE ASSISTANT & MANAGER
JOB DESCRIPTION
Requirements:

Previous experience in construction, landscaping, or home services industries is preferred.

Minimum 3 years of office management or administrative experience.

Strong organizational and communication skills.

Proficiency in Microsoft Office and QuickBooks (or similar accounting software).

Experience with managing a team of office assistants or customer service personnel.

Bilingual (Spanish/English) is a plus.

Ability to work both in-office (6 AM - 10 AM) and from home (11:30 AM - 3:30 PM).

Valid driver’s license (for potential errands or tasks that require driving).
Duties:

Oversee day-to-day office operations and customer communications.

Manage office staff, schedule appointments, and handle employee inquiries.

Track inventory and maintain office supplies.
-
Process client billing and payments, using QuickBooks or similar software.
-
Handle employee timekeeping, payroll, and HR-related tasks.
-
Communicate with customers regarding service inquiries, appointments, and concerns.
-
Assist in scheduling landscaping services, managing customer accounts, and ensuring service accuracy.

Monitor and manage office workflow, ensuring all tasks are completed on time.
Requirements:

Excellent phone etiquette and customer service skills.

Ability to multitask, handle data entry, and perform administrative duties.

Ability to work part-time, with flexible hours from 6 AM - 10 AM in-office and 11:30 AM - 3:30 PM from home.
Duties:

Assist the office manager with daily administrative tasks.

Answer phone calls, emails, and customer inquiries promptly.

Maintain customer databases and scheduling systems.

Assist with filing, invoicing, and data entry.

Handle incoming and outgoing mail.

Help manage office supplies, and track inventory.

Schedule appointments for crew teams and services.
